Archiving Your Website

I was recently asked to think about how to approach archiving the website to satisfy any and all legal requirements should something come up. If a user brings suit against you based on information that was contained on the site at one point do you have a backup process to protect the University? How often and what stuff should be maintained? Is it like documents that you can file away with dates and copies of each new addition? I am very interested in your thoughts about this. Thanks.

Well, our CMS has a versioning system that will save every revision of a piece of content as far back as I want, unless I flush them. So there's always that. I haven't yet decided how long I will keep such things. Probably not longer than a year. I am unfamiliar with any rules requiring us to keep any web data longer than that (or at all).

Could you tell me what CMS you're using? We have a custom CMS and I'd like to write in a versioning system, but would like to see how others have implemented it.

dotCMS. They have a demo up you can check out: http://demo.dotcms.com/c, the login/pass is test@dotcms.org/test

The only thing missing is a diff engine a la Wikipedia, but once we complete our redesign I think I might start looking into writing one for it.

We do a database backup on a daily basis. We then add that sql file to our versioning system (subversion). So, effectively, (as long as I make a commit every day) we have a daily snapshot of the content available on our site. If need be, we could recreate the site as it looked on any day since we began versioning the site.

That is exactly what we are discussing. I will pass this info on to my team. We don't use a CMS so things are not as easy as they could be right now. One more question: where do you store it and how long do you keep it?

We have a subversion server that we run in-house. We back up this server to external media and then take that off-site.

Our Ektron CMS has a versioning system and so does Drupal CMS. I do not delete previous versions of our pages and each version has a time stamp on it so I can always go back and check.
On top of that, our databases are backed up every couple days just in case anything happens.
